Efficient campaign management - A declaration of love for our project management tool
Autor: Clarissa Eibl

In the fast-paced and sometimes very hectic world of the advertising industry, it’s crucial to organize our campaigns well to avoid potential mistakes and always stay on top of things. Like a yogi who sits in a pose and concentrates on nothing else, regardless of what is happening around him/her, we too must maintain our ease and consistency amidst the daily hustle and bustle. That's where our project management tool Asana comes into play. Asana is a word from yoga teaching and refers to the place and pose in which a yogi sits during his/her exercises. We manage unforeseen changes in plans or staff absences due to sick leave simply by being well organized. The secret to our success? Our personalized Asana board, where we collect and manage all information about our campaigns, helps us bring clarity and structure to our team while weathering all the storms of the advertising industry's daily routine.

Centralized campaign management

Our team has grown steadily over the last three years. The more people we have working on our online campaigns, the more important it is to gather all campaign information in one central place. Our Asana board provides us with a quick overview of all the online campaigns that are currently being worked on in our team.

Effective communication and collaboration, even in the home office

Regardless of where our team members work from. The central management of our campaigns makes real-time coordination, feedback and quality checks possible. In our Asana board, we can assign tasks and deadlines flexibly, and everyone can access them from anywhere. The transparent working gives each of us a clear overview of who is responsible for which task. This increases efficiency, and bottlenecks or delays canbe identified and resolved early on.

Clear campaign planning

With the Asana board, we can visually design our campaign planning. Thanks to different status columns, we can see at a glance in which phase of planning the respective campaigns are. From "Proposals" and “In Planning” to “Paused” or “Completed”, there are various statuses in our board. The heart of the Asana board is definitely our "Live & Running" column, where all campaigns that are currently running online are located.

From A for analysis, to T for target group optimization

In our Asana board, all the information and tasks we need for the smooth running of the campaign are collected. Information that cannot be missing under any circumstances:

We also collect documents in the Asana board, such as proposals, analysis or important emails to and from our clients. Additionally, we document our optimization progress so that everyone in the team can see at a glance what has been changed in each campaign.

Our Asana board gives us a quick overview of what phase each campaign is in

Our campaign board can do so much more

Initially, we only used the board to organize the campaigns However, it has now become the central element of our weekly team meetings. Every Monday, we go through the entire board and discuss the status of each campaign. This way, everyone is always well-informed about campaigns that the others in the team are running. As a result, even if someone is absent, we can guarantee consistently high-quality consultation for our clients.

If you've read this far, you may have noticed that I'm absolutely in love with our Asana board, which took us a bit of time and brainpower to develop but makes our day-to-day work-life so much more pleasant! Is our Asana board perfect? Yes, definitely. Will it still change? Certainly. The demands on ourselves and our online campaigns are constantly evolving, and therefore, our Asana board is not a rigid construct either. In addition to campaign statuses, we also discuss possible optimizations of our internal organization in our team meetings, which in turn means that our Asana board is also constantly evolving. I'm already excited to see what it will be capable of depicting in a year's time!
